Spring 2012 - 2013 Important Dates
Office of Residence Life

Sophomores, Juniors and Seniors can change their meal plans for the upcoming Fall 2012 semester. Interested students must fill out a Meal Plan Change Request form and turn it into the Director of Residence Life no later than June 15th. Requests made after this deadline will incur a $50.00 change fee.

• Reminder: Freshman students with 0-32 credit hours must keep a 19-meal plan for their first year at Defiance College. 
  
  
• Reminder: Defiance College in-season athletes must have a 19-meal plan or 14-meal plan if living on campus.

July

Sunday, July 1st: Deadline for students to request a roommate.

Friday, July 6th: First round of Housing Letters mailed

• Students who have signed up for Orientation and filled out the Housing Application will receive their housing letters from the Office of Residence Life that will detail room assignment and roommate information for the fall. Letters will be emailed to their defiance.edu account, personal email as listed on Housing Application, and mailed through the US mail.

Move-In:

• Friday, July 27th: Bridge Program early move-in for those attending Orientation
  
  
• Sunday, July 29th: Bridge Program move-in

August

Wednesday, August 1st: Second round of Housing Letters mailed

• Students who have signed up for Orientation and filled out the Housing Application will receive their housing letters from the Office of Residence Life that will detail room assignment and roommate information for the fall. Letters will be emailed to their defiance.edu account and mailed through the US mail.
  
  
• After August 1st housing letters will be sent on a weekly basis or as students sign up for Orientation.

Move-In: Anyone who checks in early or not at their scheduled time will be charged an early check-in fee

• Wednesday, August 8th: Resident Assistants move-in 9:00am-2:00pm
  
  
• Friday, August 10th: Football & Football Athletic Trainers move-in 9:00am-3:00pm
  
  
• Friday, August 17th: Volleyball & Soccer move-in 9:00am-Noon
  
  
• Sunday, August 19th: Cross Country & International Students (Tentative) move-in 9:00am-Noon
  
  
• Wednesday, August 22nd: Pep Band move-in 1:00pm-4:00pm
  
  
• Thursday, August 23rd: Women’s Golf, Cheerleading, Women’s Tennis, Orientation Leaders, Honors, Welcome Week Committee, Greek Organizations and Move-In Crew move-in 9:00am-Noon    
         
• Saturday, August 25th: Freshmen, Sophomores & Transfer Student move-in 9:00am-4:00pm
  
  
• Sunday, August 26th: Juniors & Seniors 9:00am-4:00pm

September

September 4th: Residence Hall Council meetings in the lobby of Whitney and McReynolds

• First meeting of the year to determine quiet hours for the buildings.

September 10th through 23rd: Roommate Consolidation

• All students without roommates during the roommate consolidation period will be asked to room with other students that do not have roommates.
  
  
• This is the designated time period for students to openly switch roommates and rooms without a formal room change / roommate mediation process.
  
  
• Paperwork will be available through your Hall Director. Anyone who moves rooms without the Hall Director’s explicit consent will be asked to move back or fined.

October

There are no important dates in October at this time.




November and December

Thursday, November 15th: Spring 2013 Meal plan change deadline.  Meal plan change forms available outside the Office of Residence Life.

Hall Closing Dates: Thanksgiving and Winter Break will be the only times during Fall 2012 the residence halls will close.

• Thanksgiving: Residence Halls will close for Thanksgiving Break at Noon on Wednesday, November 21st and reopen on Sunday, November 25th at Noon.
  
  
• Winter Break: Residence halls will close for Winter Break at Noon on Friday, December 14th, 2012 and reopen Sunday, January 6th, 2013 at noon.
  
  
• Students that wish to remain in the halls during the break must fill out an Occupancy Agreement with the Office of Residence Life. These forms are available 2 weeks prior to the break and due 2 days before the break begins.

January

Sunday, January 6th: Residence halls reopen for the Spring semester at noon.

• Wednesday, February 6th through Friday, February 8th: RA Professional interviews in Hubbard Conference Room (across from the bookstore)
  
  
• Wednesday, February 13th: Final notification letters will be placed in mailboxes at 5:00 pm
  
  
• Friday, February 15th: Deadline to accept or deny the RA or alternate position
  
  

Housing

March

• Deadline to request Medical Singles and Special Housing Accommodations to the Office of Residence Life.
  
  

Monday, March 18th – Friday, March 22nd: Whitney Squatting       

• Upperclass residents desiring to live in Whitney can come to the Office of Residence Life to reserve a room and sign their Housing License Agreement. You must come with a roommate or you cannot reserve a room.  Rooms will be given on a first come first serve basis.
  
  

Sunday, March 24th: Whitney Lottery

• Current McReynolds Residents are expected to participate in the Whitney Lottery if they have not been selected to live in the Grand Avenue, Jacket Suites or is living with a current Whitney resident. This is a mandatory event. The Whitney Lottery will be @ 7:00 pm in the McCann Center Lobby on Sunday, March 25th. Current freshman will be assigned a lottery number. As numbers are drawn (like in a lottery), pairs will be able to select their room location in Whitney Hall for the fall.
  
  
• If you cannot attend the housing lottery you will need to send a proxy (a person to stand in your place- proxy forms can be found outside the Office of Residence Life) or make special arrangements with the Office of Residence Life after March 25th to take the rooms that are left behind after the lottery.

April

There are no important dates in April at this time.

May

Summer Housing:

• Applications available after spring break
  
  
• Tuesday, May 1st: Summer Housing Applications due to the Office of Residence Life
  
  

Move-Out: Residential students must move out of their residential rooms 24 hours after their last final with a member of the RA staff.  Any student who moves out without an RA checking their room will be issued an improper checkout fee.

• Thursday, May 2nd: All residents, except residents who have filled out a break occupancy agreement or summer residents, must be out of their residence hall rooms at noon.
  
  
• Sunday, May 5th: All break housing students must move out of their residential rooms by 5:00 pm.  Break housing students will use an express checkout envelop to move out.
